Biennial Event - Workshop and stand leaders
Workshop and stand leaders play an important role at the EYH biennial event by sharing their personal stories with the girls and leading them through engaging hands-on activities to help them see that careers in Science, Technology, Engineering and Mathematics (STEM) are exciting and within their reach.
We are looking for workshop or stand leaders for our upcoming biennial event.

Organisation quickly explained
Where possible, workshops and stands should be given by women role models, who are experts in their field.
The workshops will take place 3 times, at 9h30, 11h00 and 13h30.
Two sessions will be in French, and one in English.
The stands will be manned from 8h15 to 16h15.
Group size will be 10 - 15 girls.
Guides will ensure that groups of participants are guided from one session to another.
Key elements for designing a good workshop
- Fun – the goal is to inspire and engage not teach! A boring lecture will only serve to perpetuate boring stereotypes.
- Practical, age-appropriate activities – the golden rule is to have 5 minutes of active participation for every minute of speaking time.
- Sharing – workshop leaders share personal stories about their interest in STEM, demonstrating that in real life women can pursue STEM careers and still have a fulfilling life.
Registration process for a workshop or a stand
Step 1 : Contact us via the form at the bottom of this page.
Step 2 : The Events Manager will contact you to confirm your participation in the upcoming biennial event and will send you a link to fill in the logistics form.
Information to provide in the logistics form:
- hardware and software requirements
- number and names of workshop leaders/helpers
- day and time of arrival to install the equipment
- etc
Step 3 : You will also receive a link for the registration form for the workshop leaders. Every member of the team, without exception, must complete a form.
Step 4: Finally, if necessary, fill out the Expense Approval form (more information in the “Reimbursement of materials” section below).
If you need assistance with creating a workshop activity or stand, its title or description, please contact the Events manager.
Check-in
Each team member must check-in and pick up their pouch from the "Bureau des animateurs" either:
- Between 17:00 – 18:00 the day before the event, or
- Between 7:00 – 8:00 on the day of the event
Your pouch will contain the internet password, lunch vouchers, and invitations to the cocktail for after the event.
A room has been allocated for the presenters' lunch. Lunch vouchers must be pre-ordered.
Unloading and uploading materials
Access for unloading/uploading materials is from Bd Carl-Vogh, entrance Baud-Bovy- Please note that on the morning of the event, it is important to unload as quickly as possible to allow other organizers to enter and unload their equipment. You will not be able to park there; this entrance is reserved for firefighters.
Reimbursement
ETH will reimburse facilitators for any reasonable costs of materials not already provided by your company/organization. An estimate of the cost of materials must be submitted and approved before the event. This will be the maximum amount you will be reimbursed after the event.
No fee is paid to the workshop leaders and co-workers for their time spent during the event. Travel costs to the venue will not be reimbursed.
Complete the following steps to be reimbursed:
Step 1: Complete and send the Expense Approval form with the first estimate of costs.
Step 2: The form is returned to the Workshop leader after approval or with a question for supplementary information.
Step 3: Workshop materials are purchased by the workshop leader or team. Please record the actual amount spent on the form. Keep all receipts!
Step 4: Provide the receipts to the Events Manager on the day of the event. You can also send a scan of the receipts after the event.
Step 5: Your expenses will be reimbursed by bank transfer within 4 weeks of receipt of the receipts.
